Registration templates

Use can use the PPSR to set up registration templates for your account users. This can help you save time and avoid errors.

Benefits of using PPSR registration templates

If you use the PPSR often, you can set up customised templates that pre-fill the details you use whenever you create registrations. You can have control over which users in you organisation have access to specific templates and:

  • can ensure PPSR users in your organisation enter basic details in the right way
  • will help you save time creating registrations especially those that share similar details.

You can create multiple templates for different registration types – for example, one for motor vehicles and one for organisations with ACNs. You can also name them so that you can easily recognise and select the right one.

To set up a template, you need to have a PPSR account and be the account administrator. You don’t need to be an administrator to use a template but you’ll need an administrator to set up the template and share it with the account users.

There’s no fee for creating a template. You’ll pay the usual fee for creating registrations using templates.

Information you can pre-fill

Registration details you can pre-fill include:

  • collateral type
  • collateral class
  • transitional status
  • secured party group number
  • grantor.

Templates must have the collateral type and transitional status pre-filled. You can then choose which other fields you want to pre-fill.

Creating a template

Log into your PPSR account, then:

  1. Go to the Registrations tab and select Create a registration.
  2. Enter all registration details for the type of registration you want to create a template for. For more information about what you need to make a registration see How to register on the PPSR.
  3. Once you’ve entered all the details you want to keep in your template, select Save as template. Depending on how much pre-filled information you want in your template, you save as template at several steps in the registration creation process before you submit for action or make the payment.
  4. You'll now see a Manage template screen where you must enter a Name and Description for the template and select Save directly underneath the description field.
  5. You can also add the template to your user groups to allow other users to use the template. To do this, select Edit and select the assigned groups.
  6. Once you've added these details, select Save as active. If you'd like to make changes to the registration template (such as collateral, grantor, etc) select Update template details. You can then make changes to the registration details and select Save template.
  7. Your template is now ready to use.

Saving an unfinished template

Save a template as pending

If you can’t finish creating a template and need to save it for later, select Save as pending. Note down the ‘pending application number’. You’ll then have eight days to go back in and finish it.

You won’t be able to use the template until you save it as active.

Finish creating a template saved as pending

Log into your PPSR account, then:

  1. On your home page you’ll see a list of all of your pending applications.
  2. Select the number of the template you want to finish.
  3. Fill in the rest of the details.
  4. Select Save as template.
  5. You'll now see a Manage template screen where you must enter a Name and Description for the template and select Save directly underneath the description field.
  6. You can also add the template to your user groups to allow other users to use the template. To do this, select Edit and select the assigned groups.
  7. Once you've added these details, select Save as active. If you'd like to make changes to the registration template (such as collateral, grantor, etc) select Update template details. You can then make changes to the registration details and select Save template.
  8. Your template is now ready to use.

Using a template

Once you have an active template, you can select it at the start of the registration process. The registration form will then show pre-filled information. Log into your PPSR account, then:

  1. Go to the Registrations tab and select Create a registration.
  2. Select Start application.
  3. In the Select a template drop down box at the top of the screen, choose the template you'd like to use from this list.
  4. Select Use template. This pre-fills all information you'd saved in your template.
  5. Complete the remaining information needed to submit the registration. See Registering on the PPSR for more information about how to complete these steps.

Viewing, sharing and managing your templates

If you’re an administrator, you can change, share, copy, activate or delete templates. Log into your PPSR account, then:

  1. Go to the Registrations tab and select Find template.
  2. You can enter the template number if you have it, or find templates that have a particular status - such as Active, Pending, etc. Select All to find all available templates.
  3. Select Find.
  4. You’ll see a list of your templates. Select the radio button next to the template you'd like to manage. You can then choose from the options shown on the page (some may not available depending on the status of the template):
  • Start new registration – create a new registration using the selected template
  • Duplicate – make a copy of the template
  • Copy to account customer – share the template with another account user
  • Manage – edit the template details
  • Activate – make the template active so you can use it
  • Delete – delete the template
  • View history – find the date when the template was created and see a list of changes to it.

Select the option you need and follow the instructions.
