Email notifications
When you set up your secured party group/s (SPG) you'll need to enter an email address for service. We'll use this to send you a notification every time you do something to a registration such as change, transfer or end it. For more information or to update your address for service see Using secured party groups.
Before you start, to make any changes to your notification settings you’ll need:
- the SPG number and access code
- the right level of user permissions to view the SPG page - if you don't, see your account administrator for further assistance.
Bulk notifications
Sometimes when performing transactions for a large number of registrations at a time on the PPSR, the resulting PDF notification will be too big to attach to an email (over 3MB). This includes transactions such as:
- changing your SPG's address for service
- transferring registrations to another secured party group.
If this happens the email will have a link to download the PDF documents from your secured party group notifications.
Tip - You can access the PDF notification for 30 days, so make sure you download them and save them for future reference.
To retrieve your notification, log into the PPSR, then:
- Go to Secured party groups and select Manage a Secured Party Group from the drop-down menu.
- Enter your SPG number and access code and select Retrieve.
- Select the Group notifications tab and select the Notification ID contained in the email.
- Enter the Notification retrieval code contained in the email and select Retrieve link.
- You can now download the PDF document and save to your device for future reference.
Setting up additional notifications
You can change your SPG settings so other people can also receive copies of notifications. This means you can automatically notify someone of certain account activity (such as a lawyer or supervisor). You can only nominate one additional recipient for each notification type. The types of notifications include:
- verification statements
- tokens and
- SPG access codes.
There are two ways to set up additional notifications:
- Add another person to receive notifications
- Set up another person to be CC'ed in on your notifications.
You can also change or remove the email address by following the same steps.
Add another person to receive notifications
Log into your PPSR account, then:
- Go to Secured party groups and select Manage a Secured Party Group from the drop-down menu.
- Enter your SPG number and access code and select Retrieve.
- Locate the Address for service section and select Edit.
- Scroll down to the Additional notification addresses section
- Select the Notification type you'd like the recipient to receive (you can only choose one at a time) and select Set address.
- Enter the email address you'd like to receive notifications and select Update.
- You'll be taken back to the Group details page. Select Save.
Set up someone to receive CC copies of notifications
Log into your PPSR account, then:
- Go to Secured party groups and select Manage a Secured Party Group from the drop-down menu.
- Enter your SPG number and access code and select Retrieve.
- Locate the Address for service section and select Edit.
- Scroll down to the Additional notification addresses section
- Select the Notification type you'd like the recipient to receive (you can only choose one at a time) and select Set address.
- Select the check box Allow copies of this notification to be sent to CC addresses and select Update.
- You'll be taken back to the Group details page. Select Save.
- Scroll to the top of the screen and on the right hand side of any page in your account, you'll see the Registration activity - send copies to box. Select Edit.
- Enter the email address you'd like to have CC copies sent to, and select Save.
