PPSR user role descriptions

PPSR users have permissions to do different things such as searching, registering and running reports. To do this, they are assigned user groups that have specific permissions in them called roles. Whilst there are default groups, some account holders might want to create custom groups for their users.

When creating users, there are different types of permissions the users can have to perform various tasks using the PPSR. Users can either have the default group permission settings or you can customise the user's settings to allow them to only be able to perform certain tasks.

Default group permissions

If you don't set up customised permissions for users, there are three default user group settings that are assigned to a user profile.

  • Casual user - if you're searching the PPSR without creating and using an account.
  • Default user - the default setting for any users created other than you (or the administrator) in your PPSR account.
  • Account administrator - the person who manages your PPSR account, usually the person who set up the account (if you're the only user on the account you will be the account administrator).

Customising your user permissions

If you use the PPSR a lot or have a lot of staff for who use the PPSR, you may want to consider customising the user permissions of users in your account. This way, you can allow users to only perform the PPSR tasks they need to based on their role. Examples include:

  • account users that are to create a registrations, but not able to complete them until someone else has reviewed them
  • account users able to create registrations but only a designated senior staff user able to discharge registrations.

Consider only assigning roles to users who have been trained to use the PPSR and have a specific reason for using them.

To manage a user's permissions, you can assign certain roles to a group (such as searching roles only) and then assign that group to a user. For more information about how to customise your account user's permissions, see Managing users.

PPSR user roles

The tables below show the various roles you can assign to custom user groups and which default user group they apply to by default.

These are broken down into the type of role function:

User and group settings

Must be given to all users with logins.

  • view history of users.

  • view account balance
  • credit limit and
  • discount.
